UBO Register

Manage your UBO (Ultimate Beneficial Owners) declarations and stay compliant.

What Is the UBO Register?

The UBO Register (Ultimate Beneficial Owners) is an official register maintained by the Federal Public Service Finance (SPF Finances). In short, the law requires every ASBL (nonprofit association) to declare who the natural persons are that control or manage the organization: administrators, persons authorized to represent the association, those responsible for day-to-day management, etc.

Legal basis — Law of 18 September 2017 on the prevention of money laundering (Articles 73 and following) and Royal Decree of 30 July 2018. Every Belgian ASBL must declare its beneficial owners via the MyMinFin platform and confirm each year that the information is still correct.

The UBO page displays at a glance:

  • Current status of the declaration with color coding:
    • 🟢 Green: declaration is up to date — everything is in order
    • 🟡 Yellow: renewal due within 60 days — remember to renew soon
    • 🔴 Red: declaration expired or missing — action required
  • Days remaining before the deadline
  • Date of last declaration

Declare or Renew

  1. Click Confirm declaration.
  2. Select the declaration date via the calendar picker.
  3. Confirm. The system automatically updates the next deadline (365 days).

Penalty — Failure to comply with the UBO obligation may result in an administrative fine of 250 to 50,000 EUR (Art. 132 of the Law of 18 September 2017). It is therefore important not to let your declaration expire.

Category 4 UBO — What Is It?

The law provides 4 categories of beneficial owners for nonprofits. If no person falls into categories 1 to 3 (for example, no person holds more than 25% of the voting rights), then all members of the board of directors are automatically classified as "category 4" (default beneficial owners). An additional description field is available for these members.

Beneficiary Table

The table lists all declared members with:

  • First and last name
  • Role in the organization (administrator, president, etc.)
  • NISS (national register number) — the Belgian national number, in the format XX.XX.XX-XXX.XX. You can find it on the back of your identity card.
  • UBO category (1, 2, 3, or 4) and control percentage where applicable

Compliance Report

Click Download report to generate a PDF summarizing the UBO compliance status of your organization. This document can serve as internal evidence or be presented during an inspection.
